Marketing Work Management Tools Help team members collaborate more efficiently, eliminate silos within the organization and increase the efficiency of their work.

Three best practices will help teams get the most from their marketing work management software.

Create customized dashboards to help teams, individuals and stakeholders.

At The MarTech conference, Brianna Miller, director of marketing at Protenus Healthcare Compliance Analytics, said that dashboards would be a great way to help people use the tool.

Dashboards can be used for three different situations. Each has a different setting and purpose.

Team Dashboard. You can view all current and future projects on the dashboard. The dashboard can be viewed and updated at team meetings to provide transparency for all members.

Miller explained that the team dashboard “is where we map out all projects and visualize them on a high-level across our team”, Miller said. Miller explained that “all our teams can access this dashboard, and we use in all our team meetings.”

Individual Dashboards. Each team member should have their own dashboard so that they can update and view the projects on which they are working. They can see what items need to be reviewed or approved.

The dashboards can also be used in meetings with managers.

Miller said, “I share these documents with my direct report so we can see what they are working on.” I can answer their questions and we can have an open and transparent discussion.

Stakeholder dashboard with read-only access The dashboard can be built for clients and executives as well.

Miller said that the tool allows users to see the status of the project and its deadlines without getting into details.

Use templates to create repeatable tasks and projects

The marketing team has worked on many projects and tasks before, and the processes they use are repeatable. Teams can create templates using work management tools for repeatable projects, so that processes, deadlines and assignments don’t need to be recreated every time.

Miller said, “We use them all the time, for webinars and newsletters. We also use them at trade shows. Case studies are another example.

The template automatically assigns project owners, task managers and reviewers based on pre-determined deadlines. These all lead to the “milestone date”, which is determined for the project.

Templates should be regularly updated to reflect any changes or improvements made to processes.

Miller said that they do a review at least once a month, and often two times a week. Miller explained that “[we] do a quick review of the team, and those who are involved in each type project to ensure that we don’t miss anything or need any changes.”

Use project request forms

Create project request forms is another good practice to use for work management. It ensures that all project requests come from the same source and are submitted in a similar way. This is better than receiving requests via Slack, email or meetings.

Request forms have the advantage of allowing you to include all the information needed to complete the project in advance.

Miller said that it also helps automate requests. When you set up templates, it will automatically create projects and tasks based on the information that you enter in the form as well as the templates that you have created. It can create tasks and assign projects automatically.

These dashboards, templates, and request forms will help organizations get the most from their marketing work management software.
